Privacy Policy

What we collect

• Account details. Your email address, and your name if you give one, so you can sign in and keep your progress. Passwords and sign-in codes are handled by our sign-in provider and are never stored by us.
• Learning progress. Which lessons and slides you have reached, your quiz and check results, and the calendar days you studied (shown as your logbook and currency). It is saved on your device and synced to your account so it follows you between devices.
• Questions you ask George. The text of a question, and the slide or lesson you asked it from, is sent to our AI provider to write and voice the answer. The first question in a conversation and its answer are also kept in an answer cache, without your name, email or account attached, so the same question can be answered instantly the next time anyone asks it. Please do not put personal information in your questions.
• Instructor features. If you invite a flight instructor, we store their email address and the invitation. If an instructor reviews you, we store a snapshot of your progress shared with them, any endorsement they issue, and the instructor’s certificate number that appears on it.
• Basic technical information. Like any website, our hosting provider receives your IP address, browser or device type and the pages requested, and keeps standard server logs for security and troubleshooting.

Kept only on your device

Lessons you download for offline use, study reminder times, and app settings stay on your device. Study reminders are scheduled by your phone itself; we do not send push notifications. Deleting the app removes these.

How we use it

To run your account, save and sync your progress, answer your questions, show your instructor what you have completed when you invite one, keep the service secure, and fix problems. We do not use your information for advertising or sell it to anyone.

Who processes it for us

We use a small number of service providers, each only for the job described:

• Clerk for sign-in and account security.
• Vercel to host the website and app content.
• Neon for the database that stores accounts, progress and instructor records.
• OpenAI to write and voice George’s answers.
• Pinecone to search the FAA handbooks and hold the anonymous answer cache.

We may also disclose information if the law requires it, or to protect the safety, rights or property of our users or others.

How long we keep it

We keep your account and progress for as long as your account exists. When you delete your account we delete your account details, progress and study days, and instructor invitations. If an instructor has endorsed you, the endorsement record (your name and email, the endorsement, its date and the instructor’s certificate number) is kept, because instructors must keep a record of the endorsements they give for at least three years. Anonymous cached answers are not linked to anyone and may be kept.

Your choices

• You can delete your account at any time from the You tab in the app: tap Delete account at the bottom and type DELETE to confirm. This removes your sign-in and everything listed above as deleted; an endorsement record, if you have one, is kept as described above.
• To see or correct the information tied to your account, or if you cannot use the app to delete it, email support@groundtrack.ai from the address you signed up with. We will respond within 30 days.
• You can turn study reminders off on the You tab in the app, or in your phone’s notification settings.

Children

Ground Track is built for student pilots and is not directed to children under 13. We do not knowingly collect information from children under 13; if you believe a child has given us information, contact us and we will delete it.

Security

Information is sent over encrypted connections and stored with providers that encrypt it at rest. No system is perfectly secure, but we limit what we collect and who can reach it.

Changes

If we change this policy we will update the date above, and for significant changes we will let you know in the app or by email.
